A lot of people are using web based email like Gmail for their daily communications simply because it is mobile (can access with any computer with just a browser and an internet connection) and large storage. While these web based email are becoming more and more popular for business and personal use, it is necessary to have backups of all important messages in case there is anything bad happen. Below we have list down the backup procedure to your computer by using an outlook express email client.
Setup POP access in Gmail
First, you must login to your Gmail account to change setting to allow POP access :-
- Login to your Gmail account
- Click Settings at the top menu
- Open the Forwarding and POP/IMAP tab
- Select Enable POP for all mail
- Click Save Changes
Setup outlook express to access Gmail
Above will prepare your Gmail account for accepting POP connection from an email client. We will now configure outlook express to access the Gmail account.
- open up your outlook express
- Click Tools -> Add -> Mail
- Enter your Full name in the first screen and click Next
- Enter the FULL gmail address (i.e. yourname@gmail.com) in the email address field and click Next
- fill up the following :-
incoming mail (POP3, IMAP, HTTP) server: pop.gmail.com
outgoing mail (SMTP) server: smtp.gmail.com
- Click Next
- Enter your full gmail address (i.e. yourname@gmail.com) in the Account Name field and the password for accessing this gmail account, click Next when done
- Click Finish to complete the account setup
- In the Accounts tab, highlight the gmail account you have just setup and click Properties
- Click Advanced tab
- Checked the This server requires a secure connection (SSL) under the Outgoing Mail (SMTP) and enter port number 465 in the Outgoing mail(SMTP):' field
- Checked the This server requires a secure connection (SSL) under Incoming mail (POP3), and the port number 995
- Click Servers tab and checked My server requires authentication
- Click OK to save the settings
- Done
You have now setup the outlook express to access the gmail account, to start the backup, simple click
Send / Receive and outlook express will start accessing the gmail account to download all messages to your outlook express.
